How we handle information about you
FutureMeds LTD values your privacy and is committed to protecting your personal data.
This Privacy Policy explains how FutureMeds LTD collects, processes and stores your personal data.
The Privacy Policy is to regulate the way FutureMeds LTD treats information, including personal data, when the User uses the services of FutureMeds LTD. This also applies to other information provided when using the FutureMeds LTD website (hereinafter: Website).

No matter which country you are accessing our services from we will use appropriate safeguards to protect your personal information in accordance with this Privacy Policy and the applicable data protection laws.

If you contact us via one of the forms available on our Website we will process your data provided by you in the form.
In order to send you marketing communications we need your email address or telephone number, you may also be asked to provide your first name - we will then be able to personalise our communications accordingly.
What is the purpose of processing my personal data?
Contact with the FutureMeds LTD
If you contact us via one of the forms available on our website, then we process your personal data for the following purposes:

in order to communicate with you and dealing with the matter initiated by you as a legitimate interest of the Controller (Article 6 (1) (f) GDPR and UK GDPR);

in order for FutureMeds LTD to be able to contact you and to inform you about the possibility of participating in a free preventive study, as well as to assess the possibility of qualifying you for a clinical trial and to invite you to participate in such a study - the basis for the processing of your personal data is then your free and explicit consent and / or for the purpose of preventative or occupational medicine for the assessment of the working capacity of the employee, medical diagnosis, the provision of health or social care or treatment or the management of health or social care systems and services or pursuant to contract with a health professionals. (Article 6 (1) (a) and 9 (2)(h) or (i) GDPR and UK GDPR);

for the purpose of recruitment - then the basis for the processing of your personal data in the scope of data referred to in the appropriate regulations is the legal obligations incumbent on the Controller as a potential employer (Article 6 (1) (c) GDPR and UK GDPR); however, if the basis of our cooperation will be a contract other than a contract of employment - we process your data within the framework of activities aimed at concluding this contract (Article 6 (1) (b) GDPR and UK GDPR), and to the remaining extent, and if you give your consent for future recruitment - it is the basis for us to process your personal data (Article 6 (1) (a) GDPR and UK GDPR).
Pursuing claims
We may use your personal data where it is necessary to enforce a legal right, we have the right to pursue claims on account of our business activity and thus to process your data for this purpose – then we process your personal data on the basis of our legitimate interest (Article 6 (1) (f) GDPR).
Data storage for the purpose of ensuring accountability, i.e. proving compliance with the provisions on the processing of personal data – for this purpose, we process your personal data on the basis of our legitimate interest (Article 6 (1) (f) GDPR).

FutureMeds LTD uses necessary cookies for the proper functioning of the Website. The use of necessary cookies may involve the processing of your personal data, which is based on the legitimate interest of the Controller consisting in the functioning of the website (Article 6 (1) (f) GDPR).
Marketing activities – analytical and marketing tools
We use tools that allow us to track and report website traffic (Google Analytics) and to track conversions and ad personalization (Meta Pixel). Due to the nature of data collection, the rules related to the processing of personal data as part of these processes have been described in the Cookies Policy.

To whom is my personal data transferred?
As a healthcare provider, we care about the confidentiality of your data. Due to the need for us to be properly organised, e.g. in terms of IT infrastructure or day-to-day matters concerning our business, we may share your data with other recipients, in particular entities providing IT support services to FutureMeds LTD, advertising agencies, and external auditors.
Your personal data may be transferred to the following categories of recipients:

service providers who provide FutureMeds LTD with technical and organisational solutions enabling us to manage our organisation (in particular ICT service providers),

Our contracts with third parties make it clear that they must hold personal data securely, abide by the principles and provisions of data protection rules, and only use information as we instruct them to.
Is my data transferred outside the FutureMeds LTD?
The Controller is part of the capital group (list of sites included in the capital group is available here). Personal data may be transferred in connection with cooperation between the group entities and sites. We will share your personal data within our group so that we can provide you with the relevant services, which include where you act as a consumer or customer or where you act in a business capacity as a supplier, retailer or commercial contact. The transfer of data will, in each case, take place either on a data-sharing basis or on the basis of a data processing agreement.
If you accept cookies installed on the website by third parties, data collected through these cookies may be transferred to third countries in accordance with the information provided in the Cookies Policy.
For how long is my personal data processed?
Your personal data will be stored in accordance with applicable laws and kept for as long as needed to carry out the purposes described in this policy or as otherwise required by applicable law.
If you have consented to the processing of your data, we process your data from the moment you give your consent until you withdraw it.
If the data is processed by us in order to pursue claims (e.g. in debt collection proceedings), we process the data for this purpose for the period of limitation of claims, resulting from the appropriate legal provisions.
In the case of personal data processing for accountability purposes, FutureMeds LTD processes personal data for as long as it is necessary to document compliance with legal requirements and to enable control of their fulfilment by authorized public authorities.
In some circumstances, we may anonymize your personal information (so that it can no longer be associated with you). This can be for research or statistical purposes; in which case we may use the anonymized information indefinitely without further notice to you. Anonymized information may also be used to develop insights and statistics as to the use of our services, and to identify trends within the sector more broadly.
Is it my obligation to provide data?
While the provision of your data is entirely voluntary, refusal to do so will prevent us from contacting you. We will also not be able to inform you about the possibility of participating in free preventive examinations, nor will we be able to assess your eligibility for and invitation to participate in clinical trials.
If you are contacting us in relation to recruitment - refusing to provide personal data will prevent you from taking part in the recruitment.
What rights do I have?
Under data protection laws, you have a number of rights, these include:
Your Right to be Informed
We aim to be transparent within our Privacy Policy and provide you with information about how we use your personal data.
Your Right to Object
In some circumstances, you can stop the processing of your personal data for reasons connected to your individual situation. We must then do so unless we believe we have a legitimate overriding reason to continue processing your personal data.
Where your details are used for marketing, you can opt-out at any time. You are able to unsubscribe from marketing on each contact or you can contact us to object to any processing.
Your Right to Rectification
You have the right to request the correction of your personal data when it is incorrect, out of date or incomplete. If you notify us that the personal data we hold is complete or inaccurate, we will correct or complete the information as soon as possible.
Your Right to Erasure or the Right to be Forgotten
You have the right to request that your personal data be deleted, including if we no longer need it for the purpose we collected it, you withdraw your consent, or you object to its processing.
Following your request, we will erase your personal data without undue delay unless the continued retention is necessary and permitted by law. If we make the personal data public, we shall take reasonable steps to inform other data controllers processing about your erasure request.
Your Right to Restrict Processing
You have the right to request that we restrict the processing of your personal data. This can be done in circumstances where we need to verify the accuracy of the information if you do not wish to have the information erased, or if you have objected to the processing of the information, we are considering this request. Once the processing is restricted, we will only continue to process your personal data if you consent, or we have another legal basis for doing so.
Your Right to Access
You have the right to access the personal data we hold about you. Any access request will usually be free of charge and responded to within one month. We will endeavour to provide information in the format requested, but we may charge you a reasonable fee for additional copies.
Your Right to Data Portability
You have the right to receive a copy of your personal data which you gave to us. The copy will be provided in a commonly used and machine-readable format. You can also have it transmitted directly from us to another data controller, where technically possible.
The right not to be subject to automated decision-making and profiling
You have the right not to be subject to solely automatic decisions (i.e., decisions that are made about you by computer without any human input) in relation to any processes that have a legal or similarly significant effect on you. You will be notified if we make a solely automated decision which produces a legal effect or significantly affects you.
When you request to exercise your rights
You will not have to pay a fee to exercise any of the rights listed above. However, we may charge a reasonable fee if your request is clearly unfounded or excessive, including where requests are repetitive. Alternatively, we could refuse to comply with your request in these circumstances.
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal information or to exercise any of your other rights. This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
We try to respond to all legitimate requests within one month. Occasionally it could take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

Can the Privacy Policy be changed?
We cannot exclude that we will have to update our Privacy Policy in the future. The latest version will always be available on our website. In addition, we will inform you of any changes to the content of the document, e.g. changes to the purpose for which we use your personal data, the way you contact us or your rights.
